- KYSO Update:
- Snack shack exterior shutters to be installed. Need to give the donation check to the Rec Dept. $8,875 for repairs, our donation $5,844

- No realignment (it’s every 2 years). Staying in D2.
- January meeting most likely at Royal Garden.
- February meeting in Bridgewater is Mandatory
- Fundraising Update:
- 30 tickets for the 50/50 raffle sold so far
- Trivia Night any Wednesday in January at 42nd Brewery.
- Concessions Update:
- Need to pay the $150 fee to the Board of Health. All paperwork needs to be submitted by December 31.
- Field Operations Update:
- Bob to update in January regarding the line painting machine
- Equipment Update:
- Riddell picking up helmets for reconditioning 12/23
- (14) helmets are expired and need to be pulled
- Uniforms can be reconditioned - $3.50/jerseys $4.50/pants. Need at least (20) to be sent in
- Quote for (40) new helmets $12,219 - Going to have to wait to order. Turnaround time ~ roughly a month.
- $1,100 for new footballs
- Seth is going to reach out to the High School to see if they’re interested in buying the gauntlet.
- General Notes:
- Send out a message to the league to see if anyone is a CPA
- Binders for new Board members
- Find a POC for the Super Bowl/Playoffs at the High School

o End of the year walkthrough. Sleds/Pads need to be moved as far back on the practice field as possible.
o Chris to discuss with KYSO that if we have to swap practice fields with soccer there wont be enough space & one team will need to practice on Rizzo.

· Concessions Update:
o Cold Turkey Turnover completed.
o Total income: $15, 562.94 – Total Expenses: $5,745 = $9,817 profit
o Still waiting on pricing from KYSO/Rec Dept. for renovations. We will give them the money that was donated and they will pay the difference.

· Equipment Update:
o Equipment Turn-In: December 8th
o Reconditing costs: roughly $10,708 (170 Helmets)

· Treasurer Update: Current balance - $34,091.57
· KYSO Update: Town replaced the windows after the break-in.
o $3,200 for Roll Down Gate quote. Waiting on a security screen quote.
o Need a key for the lockbox for emergencies.
o Signs can’t be permanently fixed without giving money to the KYSO Sign Program.
o Missing Microphones: There was a question of who owned the microphones that were stolen from the announcer’s booth. KYSO says they won’t replace them. The ones we bought we will bring & remove after each game.
· OCYFL Update:
o Playoffs & Super Bowl Schedule –
§ Varsity: 11/2 @ Duxbury or 11/3 @ Hanover
· Superbowl 11/10 @ Hanover
§ D7: 11/9 @ Bridgewater & Duxbury
· Superbowl 11/17 @ Marshfield
o All Star Voting – Jay or Rob to be the coach. Have a handful of players. Will have to pay per player to play in the All Star game.
o Rescheduled games – OCYFL rescheduled the games but Rizzo Field isn’t available. Waiting for another possible make-up date.

· Fundraising Update:
o Scratch Ticket Board - $395 Cash, Sarah Prario will write a check for the venmo balance.
o Powderpuff updates
§ $110 in sales so far (as of 10/13)
§ Cheer is not helping with powderpuff so 100% of the proceeds will go to football.
§ Notifications that practice will be changed the week of 10/30 to go out.
§ Special Tees order for shirts: $657
§ Need volunteers for Trunk-or-Treat
o Trivia night – possibly 11/28 at 42nd Brewery.
o Wolves’ Den event space is free for the banquet.

o 9/28 – 9/29 games - $1,105/04 in expenses / $2,208.95 sales

o Total Snack Shack Sales - $10,012.48 - $4,827.42 expenses = $5,185.06 profit
o Last home games + powderpuff might need to restock a little. Anything else will be donated to cold turkey.
· Field Operations Update:
o Don’t need new chains. Another rope was found and used.
o Bob will clean out the shed under the announcers booth.
· Equipment Update:
o Helmet Quote – (40) helmets will be roughly $12, 129.95 price good until 12/15/24
o Pricing for Guardian Caps aren’t available yet (need to be certified every year until the league comes up with a liability waiver)
· General Notes:
o End of the year banquet – discussing having different windows for each team so it’s not 400 people all at once
§ Gifts: 8th grader sweatshirts. League gifts plaques/hats/medals/trophy
o Jay Beaucheane gift/recognition during 8th grade final home game (approved)
o Total Donations from the break-in. (including square & checks) $5,844.24 (see Jackie’s email)
o Discussed putting in for playoffs or Super Bowl. John Crawford was going to work with the town to waive the $150 fee since the insurance would require additional liability insurance.
§ KYSO/Rec Dep have a rule that if SLYF is not playing in a game, there is a $150 to use the field.
§ Visiting teams would need to supply a COI listing KYSO/Town of Kingston as additionally insured (1M EACH OCCURRENCE /3M GENERAL AGGREGATE)

o August Meeting Minutes were read and approved.
· Treasurer Update: Current balance - $21,430.24 (pending Coca Cola order $496.70)

· KYSO Update:
o Well update – no water before the end of our season. Delayed for parts. KYSO concession agreement, done.
o KYSO wants a lockbox to our key. Seth was told as long as a SLYF board member has a key to open and is available, no lockbox would be required but KYSO is saying they need it per the new Insurance.
o Town is supposed to be responsible for all locks
o No update on EEE
o Concession is the only one with a gate key
o KYSO is requesting that we need to reserve the field for painting
o Complaints about water bottles being left on the field
· OCYFL Update: Weigh-in’s reps done, rosters are have been submitted, and schedules are set.
o Brett Sack had an issue with Plymouth South – question on submitting a report to OCYFL since Mighty Mites aren’t sanctioned by the OCYFL.
· Fundraising Update:
o Instaraise take home (after the fees) $10,736
§ Prizes/Pizza Party for Peewees who raised the most ($8,240)
§ Motion to award prizes for the Top 3 contributors instead of the top contributor per each team because of the total raised (approved).
o Canning/Scratch Ticket/Squares Total: $3,277
o Possibility of a second Trivia Night at 42nd Brewery or maybe KKatie’s.
o Discussed having the Dice Game at the Snack Shack for a potential quick fundraiser
o New Corporate Sponsors: Pembroke Animal Hospital, KKaties & Wolve’s Den (waiting for checks in the mail)
§ Wolve’s Den would cost $1,000 to rent for the end-of-the-year party but will give us the money back. We would just have to pay for food & a DJ.
· Concessions Update:
o Expenses as of 9/15/24: $2,692 with a gross sales (from the Pep Rally, D7 game and 3 Varsity games) of $4,361. For a net profit of $1,669.24.
o Venmo frozen (roughly $1,000 in funds). We need an Article of Incorporation to send to Venmo to get the account re-opened.
o Jackie asked if we could post the weekly specials on social media (yes).
· Field Operations Update:
o Field can’t get painted because of the rain. Won’t be painted until the following week (9/26 or 9/27)
o The chains (ropes) for Field Set-up broke, we have a spare but will need to buy another rope at some point.
· Equipment Update:
o Seth is working with Riddell for a quote on expired/unwanted helmets
o Price out Guardian caps – potentially starting with the Midgets first and then ordering more.
o Going to have to replace a lot of the game pants based off of their current condition. Seth will get a price.
· General Notes:
o Powderpuff Game 10/30 fields are reserved. 50/50 split with Cheer except for Snack Shack proceeds. $5 entry fee for Trunk-or-Treat & game. Walking t-shirts to be ordered
o End of the year – kids free, adults will have to pay. Wolves Den is reserved for 12/12
o Need to coordinate with Team Moms to get player sized before the end of the season so we can order jackets asap to be ready in time for the banquet party.

Treasurer Update: Current balance - $18,882.14
- Corporate sponsor checks to be deposited: $900
- No more incoming deposits from CrossBar. All registration payments have been deposited & reflected in current balance.
- All equipment invoices have been paid & reflected in current balance.
- Snack Shack stocking expenses have not been accounted for.
KYSO Update: KYSO Golf Tournament basket & $150 donation check will need to be collected.
- Hanover/Middleboro 10/19 game still being discussed with KYSO.
- Night game – Fields are reserved from 4-10pm on 9/28 and all day on 9.29, if we end up having a night game.
OCYFL Update: Waiting to hear what the OCYFL says regarding JV Peewee games. If the OCYFL doesn’t do away with the JV games and we don’t have enough kids, we could be forced to forfeit. Estimated fine: $500 per forfeited game.
Fundraising Update: Raised $837 from canning on 8/17 & 8/18. Two more weekends for canning 8/24 – 8/25 & 8/31 – 9/1.
- 100 Yard Challenge: 12 days left. Raised $7,395 but only have 23% participation from players.
- Roughly 10 Corporate Sponsor plaques needed – Checking to see if Eastern Exposures will still do them for free.
- Corporate Banner Quote – 3x2 banners for $12 full color
- A possible second Trivia Night at KKaties
- Scratch Ticket Board – Sara Pario willing to facilitate it again. (approved)
- Pain Your Driveway Fundraiser - $35/per driveway. (approved)
Concessions Update: Snack Shack was not turned over. Hopefully next week. No fryers inside because of no ventilation. Jackie is going to get a quote to price out the labor to have a vent or hood installed and present it to the KYSO. Possibly use the fryers outside if the Board of Health approves it.
- Snack Shack will be open during the Pep Rally for candy & drinks.
Field Operations Update: $1,000 for painting. Painting taking place 9/12.
- Old paint in the shed needs to be disposed of. Need to find out what dates the Town dumps will accept paint.
- Need to move the Gauntlet closer to the football fields. Preferably between the Peewee & Midgets practice fields.
Equipment Update: All orders have been place and paid for except Midget helmet ear hole order (roughly $40).
- Getting a quote for 20 new helmets that need to be replaced for next year.
- Possibility of repurposing old/expired helmets for 8th grade gifts. Price out new facemasks that would need to be bought if they are repurposed.
General Notes:
- Powderpuff Game possibly being planned for the end of October and doing a Trunk-or-Treat to increase interest.
- 8/28 SLYC cheer-off & Kona Ice Cream truck

- Future General Meetings potentially moving to Monday nights so they can be held at Kingston or Halifax Town Hall. Or contact the Town Halls and see if they would let us use a room after 8pm. – Practices will be ending earlier as the year goes on.

Jason Ramsdell gave the Treasurer’s Report and had previously e-mailed out the balance
sheet. Total current balance is $23743.09. We have $97.02 coming out for stickers on helmets,
also helmets and jerseys have not been deducted from the total.
Nykki Cahill gave the update for John Crawford (absentee) All camp dates have been
approved, first day of camp will be on B2, then the rest of the days on the regular field. Rain
dates are confirmed for 6/29 and 6/29. June 22 will be a fundraising event 10:30-1:30 on Rizzo
field. All other dates have been requested through the rec department. There is a KYSO
meeting 4/25 that will be attended by Nykki Cahilll in regards to the contention with the soccer
field and usage. The KYSO golf tournament will be on 9/15 at the Halifax Country Club. SLYF
giving $200 sponsorship for the tournament, along with a raffle basket donation. John Crawford
will be entering as a foursome and has two open spots available.
Robby Cahill gave the OCYFL update, scrimmage on 8/23 has been booked and trying to book
an additional one on 8/29. Peewees are D7, approved and voted on during the executive
session
Marc McGarry gave the equipment update, the sleds have been shipped. He will transport to
the fields to save money.
Krystina Cyrus gave the fundraising update June 22rd fundraiser including a punt, pass, kick,
held immediately after camp. Working on having some high school players coming out to judge,
and incorporating cheerleading as well. As of now thinking the price will be $10 per event or
$25 per person total. Restaurant week is 8/21 for Papa Ginos and 8/28 for Cancun donating
20%. Secured 4, possibly 5 corporate sponsors. Still working on getting Venmo up and
running, Ramsdell to assist as the new treasurer. Gathering information for a fundraiser on
driveway stamps, also Forty Second Brew Co. is willing to do a trivia night for SLYF for free on
three different nights. Stated they could do 10 teams or 12 teams of 4, for $25 per entry. Cardio
Sport also may be interested in having a fundraising event.
Jackie Arena gave the update on concessions, spoke with the BOH, can take over snack shack
once baseball is done for the season. Jackie is working on BOH Certification, ServSafe w/
allergy certification, need permit if we would like to serve coffee and real ice cream i.e. soft
serve (anything with dairy). Concessions will be open for JV games.
Bobby Cyrus gave the update on field operations; we were quoted $900 from the paint liner,
including paint and all lines. Goal post pads need to be cleaned or replaced with logo, $1600 to
replace.
Nykki Cahill went over new business, Summer camp and Fall registrations are active. Will be
announcing the official switch over to Crossbar from every other sport app and website. June
22nd will be the fundraiser. May 23rd will be coaches night 6pm for Pee Wees and Midgets, will
go over play books, they have camp dates and are working on having high school players come
down and assist.

John Michael Fontes gave the Treasurer’s Report and handed out the balance sheet. Total current balance is $36182.39, helmets and jerseys have not been deducted from the total. John Michael is researching how to create a Venmo account for a business/non-profit, also have approximately $1000 in old Venmo account that he will research on how to transfer.
John Crawford gave an update on KYSO, all camp dates are entered into the rec reservation except for 6/5 with 6/26 and 6/29 of possible rain dates. Fall practice entered into the rec reservation. Voting on the field complex is at KIS 5/4 from 9a-2p. Fun run is scheduled for 3/30 10am arrival and race starts at 10:45, there will be an information booth set up. Bob Ward is looking for activities to do such as the 40yd dash, kick the punt etc. Head coaches will be there with their trophies.
Robby Cahill gave the OCYFL update, SLYF is realigned to division 2, JV can play varsity on one side of ball and JV on the other ball. There will be 10 coaches on each team, must be rostered and CORI checked. There will only be 12 people on the sidelines, and head coaches are the only ones allowed to speak with referee. Mites can take out the kicker, and the 5lb increase vote passed for the Midgets.
Seth Malmberg the new storage in the shed is all set, and the helmets should be returned in June/July.
Krystina Cyrus has a fundraising team meeting next month. The goal is to focus on scratch tickets, raffle tickets, mothers day packages, and fathers day baskets for raffling. Planning their first fundraising event post camp such as a powder puff game and selling tickets, and coordinate with KYSO for a date. Another idea is a food truck night after practice one night with 50/50 raffles, raffle items. Incorporate apparel for sale at games and in the snack shack. Work on corporate sponsorships.
Jackie Arena Concessions- has high school volunteers for the snack shack for the fun run. Snack shack was inspected today, unsure of the results yet, awaiting answer from Anne Gavigan.
Bobby Cyrus The line printer hasn’t gotten back with a quote, but it should be next week.
Nykki Cahill went over new business, Fall registration is done, assistant coaches have their intents in. The Kingston Living magazine has a full page dedicated to the KYSO, possibly utilizing that in the future to advertise.

John-Michael Fontes - Treasurer’s Report: $2100 was deposited from volunteer checks, expenditures $455.50 for a net revenue of $1664.60. A general ledger will list descriptions of transactions on QuickBooks.
Nykki Cahill for Absentee John Crawford - KYSO Update: Fun Run is 3/30, looking for Volunteers and SLYF will have our own Booth including activities. Jackie Arena will coordinate with Anne Gavigan for Concessions.
Robby Cahill -OCYFL update: Board voted yes to move up to Division 2.
Seth Malmberg- Football Update: Midgets shirts ordered for $842.99 and sent all helmets out to get reconditioned for $10708.65.
Nykki Cahill for Absentee Krystina Cyrus- Fundraising Update: $1000 Football Squares money was given to Treasurer. Krystina has established a Fundraising Committee with approximately 4 people. There are canning dates available in June and August for Fundraising that will be set up as soon as possible.
Bobby Cyrus- Field Operations Update: The previous line painter is available for this season, however his price has increased. He will get the amount, and confirm that the price includes paint. Will speak with the AD at the high school to see the availability of using their field for playoff games.
Nykki Cahill- New Business: Fall Season Registration is live and Announcement made, working on June Camp Registration and Announcement next. CrossBar will replace InstaTeam for registration and schedules. Head coach intentions are: Erik Barrette, Jay Bouchane, Seth Malmberg - all uncontested and will be our 2024 Head Coaches.
At approximately 7:20 pm the general membership meeting adjourned, the next meeting date is March 20, 2024 in the Great Room in the Halifax Town Hall.
